Proyek akhir ini berfokus pada analisis penataan dan deskripsi arsip dinamis inaktif KPTU Sekolah Vokasi Universitas Gadjah Mada. Penelitian ini bertujuan untuk menjelaskan proses pengolahan arsip dinamis inaktif, tingkat kesesuaian antara proses pengolahan arsip dinamis inaktif yang dilakukan dengan konsep penataan dan deskripsi arsip yang ada, serta mengidentifikasi kendala saat proses pengolahan arsip dinamis inaktif KPTU Sekolah Vokasi Universitas Gadjah Mada.

Proyek akhir ini menggunakan penelitian kualitatif, metode pengumpulan datanya dilakukan dengan cara observasi partisipan, wawancara, dan studi pustaka. Data yang telah terkumpul lalu diolah menggunakan teknik analisis data yang meliputi reduksi data, penyajian data, dan penarikan kesimpulan.

Kesimpulan penelitian ini adalah bahwa proses penataan dan deskripsi arsip dilaksanakan terhadap arsip dinamis inaktif yang kondisinya tidak teratur dan secara pelaksanaannya 70?lum maksimal. Tahapan penataan dan deskripsi arsip dimulai dari persiapan, pemilahan, klasifikasi dan penomoran berkas, pembuatan daftar arsip dinamis inaktif (deskripsi, entri data, dan manuver daftar arsip), manuver fisik, pembersihan arsip, pembungkusan, penataan arsip ke dalam boks, penomoran boks, dan penyimpanan ke dalam roll o’pack. Kendala dalam penataan dan deskripsi arsip dinamis inaktif ini meliputi kurangnya SDM di bidang kearsipan, kurangnya persiapan sarana, kondisi arsip tidak teratur, dan belum terdapat pedoman yang mengatur tentang pengolahan arsip dinamis inaktif di Lingkungan Universitas Gadjah Mada.

This final project focuses on the analysis of the arrangement and description of KPTU’s inactive records in the Vocational College of Universitas Gadjah Mada. The research aims to determine the process of processing inactive records, the level of adherence to existing archival principles and practices, as well as identifying the challenges encountered during the processing of KPTU’s inactive records in the Vocational College of Universitas Gadjah Mada.

This final project uses a qualitative method, the data collection method such as participative observation, interviews, and literature studies. Data reduction and presentation techniques were applied to process the collected data, and conclusions were drawn based on the analysis.

The conclusion of this research is that the process of arrangement and description is carried out of inactive records whose irregular records conditions and 70% of the implementation is not yet optimal. The stages involved in the process include preparation, sorting, classification and numbering files, creating a list of inactive records (including their descriptions, data entries, and maneuvering the records list), physical maneuvering, cleaning the records, wrapping, organizing the records in boxes, numbering the boxes, and storing them in a roll o’pack. The challenges faced in the arrangement and description of inactive records include the lack of resources in the field of records, insufficient planning of facilities, irregular records conditions, and there are no guidelines govering the processing of inactive records at Universitas Gadjah Mada.
