Proyek Akhir ini merupakan hasil kajian dari penelitian yang dilaksanakan di Direktorat Aset Universitas Gajah Mada. Penelitian ini bertujuan untuk menjelaskan pentingnya proses pengolahan arsip kartografi dan kearsitekturan, menggambarkan sistem pengolahan arsip kartografi dan kearsitekturan serta menganalisis pengolahan arsip berdasarkan PERKA ANRI Nomor 16 Tahun 2012, dan menganalisis kendala yang dihadapi dalam pengolahan arsip kartografi dan kearsitekturan di Direktorat Aset Universitas Gadjah Mada.

Metode pengumpulan data pada proyek akhir ini meliputi studi pustaka, observasi, dan wawancara mendalam. Studi pustaka dilaksanakan dengan membaca dan menganalisis beberapa sumber tertulis dalam rumpun kearsipan. Observasi adalah aktivitas pengumpulan data dengan peninjauan secara langsung di lapangan terkait pengolahann arsip kartografi dan kearsitekturan. Wawancara mendalam dilaksanakan secara langsung kepada narasumber terkait pengolahan arsip kartografi di Records Center Direktorat Aset Universitas Gadjah Mada.

Berdasarkan hasil analisis melalui observasi, wawancara, dan studi pustaka bahwa pengolahan arsip kartografi dan kearsitekturan menjadi penting dilakukan di Direktorat Aset UGM karena berkaitan dengan kebutuhan organisasi, riset, dan akademisi. Adapun pengolahan arsip tersebut meliputi pemindahan, pembersihan, penilaian, pengelompokkan, pencatatan deskripsi arsip dan pembuatan Daftar Arsip Sementara (DAS), penomoran dan pemberian label nomor, penyimpanan, dan pemberian label identitas. Berdasarkan hasil analisis, pengolahan arsip kartografi dan kearsitekturan masih belum sesuai dengan ketentuan PERKA ANRI nomor 16 Tahun 2012 karena Direktorat Aset UGM mengikuti pedoman dari Arsip Universitas. Kendala yang dihadapi oleh Direktorat Aset UGM antara lain arsip kartografi dan kearsitekturan yang dimiliki tidak terpusat di satu database, tersebarnya file Daftar Arsip Sementara (DAS) ke beberapa device, resiko perbedaan sistem pencatatan karena pergantian arsiparis, resiko file corrupt karena virus pada harddisk, dan lemahnya keamanan data yang tidak terjamin.

This Final Project is the result of a study from the research at the Directorate of Assets at Universitas Gadjah Mada. The purpose of this study is to find out the importance of processing cartographic and architectural records, describe the system of processing cartographic and architectural records and analyze records processing based on PERKA ANRI Number 16 of 2012, and identify the obstacles encountered in processing cartographic and architectural records at the Directorate of Assets, Universitas Gadjah Mada.

Data collection methods in this final project include literature study, observation, and in-depth interviews. Literature study is done by reading and studying several written sources in archives. Observation is a data collection activity by direct observation in the field related to the processing of cartographic and architectural records. In-depth interviews were conducted directly with informants regarding the processing of cartographic records at Directorate of Assets’s Records Center at Universitas Gadjah Mada.

Based on the results of analysis through observation, interviews and literature study  that’s important to process cartographic and architectural records at the Directorate of Assets UGM because they are related to organizational, research and academic needs. The archive processing includes moving, cleaning, assessing, grouping, recording records descriptions and making a Temporary Archive List (Daftar Arsip Sementara), numbering and labelling, storage, and identity labelling. Based on the results of the analysis, the processing of cartographic and architectural records is still not in accordance with the provisions of PERKA ANRI number 16 of 2012 because the Directorate of Assets UGM follows the guidelines from the University Records and Archives. The obstacles faced by the Directorate of Assets UGM include the cartographic and architectural records that are not centralized in one database, the temporary archive list (DAS) files are spread to several device, the risk of differences in the recording system due to the replacement of archivists, the risk of corrupted files due to viruses on the hard disk, and weak data security that is not guaranteed.
