PENYUSUTAN ARSIP DI PERWAKILAN BADAN PENGAWASAN KEUANGAN DAN PEMBANGUNAN DAERAH ISTIMEWA YOGYAKARTA

Laporan ini menjelaskan tentang penyusutan yang dilakukan di Perwakilan Badan Pengawasan Keuangan dan Pembangunan Daerah Istimewa Yogyakarta. Penyusutan merupakan kegiatan pengurangan volume arsip agar tidak terjadi penumpukkan arsip di ruang penyimpanan arsip. tujuan dari penyusutan arsip diantaranya adalah menunjang kegiatan administrasi di lembaga tersebut dan dengan diadakannya penyusutan dapat meminimalisir tercampurnya arsip penting dengan arsip yang tidak bernilai guna. Sehingga dengan diadakan penyusutan dapat memelihara arsip penting dari kerusakan arsip akibat kesalahan dalam pengelolaan arsip. penyusutan arsip dilakukan dengan tiga kegiatan yaitu, pemindahan arsip, pemusnahan arsip dan penyerahan arsip ke lembaga kearsipan/ANRI. Perwakilan Badan Pengawasan Keuangan dan Pembangunan Daerah Istimewa Yogyakarta melakukan penyusutan dengan dua cara yaitu dengan pemindahan arsip dan pemusnahan arsip. pemindahan arsip yang dilakukan adalah memindahkan arsip dari unit pengolah ke unit kearsipan. Arsip inaktif yang telah habis masa retensinya akan dipindah ke unit kearsipan untuk disimpan dan dikelola oleh pengelola arsip di unit kearsipan. Pemusnahan arsip yang dilakukan adalah dengan melakukan penilaian terlebih dahulu terhadap arsip-arsip inaktif yang masa retensinya telah habis. Penilaian dilakukan oleh tim penilai dari masing-masing bidang atau unit pengolah sebagai pencipta arsip, jika proses penilaian telah selesai kemudian dilakukan pemusnahan arsip dengan cara dicacah. Hasil yang dapat penulis ambil dari kegiatan Praktek Kerja Lapangan yang dilakukan selama dua bulan di Perwakilan Badan Pengawasan Keuangan dan Pembangunan Daerah Istimewa Yogyakarta berkaitan dengan tema penyusutan sudah baik. Terbukti dengan telah dilakukannya penyusutan arsip sebanyak dua kali sejak Perwakilan Badan Pengawasan Keuangan dan Pembangunan Daerah Istimewa Yogyakarta berdiri pada tahun 2008. Memang penyusutan arsip belum dilakukan secara teratur. Pelaksanaan penyusutan arsip dilaksanakan apabila volume arsip di Records Center sudah penuh.

This report describes about disposal of records in Representative Board of Supervisors Finance and Development (BPKP) Daerah Istimewa Yogyakarta. Records disposal is a reduction volume of records activity in order to avoid accumulation of records in the records center. Purpose of records disposal include administrative activities in support of the institution and the holding of disposal can be important to minimize the mixing of records which haven’t use value. Held so that the disposal can maintain vital records from damage due to an error in records management. Records disposal is done with three steps, that is transfer of records, destruction of records and submission of archives to ANRI. Representative of the BPKP Daerah Istimewa Yogyakarta taking disposal in two ways: with transfering of records and destruction of records. The transfering of record from processing unit to records center expiration is done when a retention of records didn’t used, so the records must be transfered to the records center to be stored and to be managed. Destruction of records is done by first assessing the inactive records retention expired. The assessment was conducted by a team of assessors from each field or processing unit as the creating agent of the records, if the assessment process has been completed then is destructed by chopping. The results of the writer’s PKL activities which conducted over two months in the Representative of the BPKP Daerah Istimewa Yogyakarta relating to the theme of disposal has been well done. The implementation of the disposal of records in Representative of the BPKP Daerah Istimewa Yogyakarta since 2008. However, this program is was not regularly. The practice of disposal records when the records in records center is getting full.
