PEMODELAN DAN PENGEMBANGAN SISTEM INFORMASI PAPERLESS THESIS EXAM (STUDI KASUS DI MTI UGM YOGYAKARTA)

Program Magister Teknologi Informasi, Jurusan Teknik Elektro & Teknologi Informasi, Fakultas Teknik, Universitas Gadjah Mada (untuk selanjutnya disebut dengan MTI UGM) mempunyai bisnis proses terkait dengan tesis, mulai dari pengajuan proposal hingga pengujian dan revisi. Dari berbagai proses tersebut hanya pengajuan proposal tesis saja yang sudah menggunakan sistem informasi, untuk proses bimbingan, pengujian, dan revisi masih dilakukan secara manual. Artinya seorang mahasiswa untuk melakukan bimbingan harus bertatap muka dengan dosen pembimbing dan membawa laporan dalam bentuk hardcopy untuk dikoreksi. Jika terdapat koreksi akan langsung dituliskan pada laporan tersebut, dengan demikian ketika akan bimbingan pada waktu yang akan datang haruslah mencetak ulang laporan setelah melakukan perbaikan sesuai yang diharuskan. Dari segi penggunaan kertas akan sangat terlihat boros, karena kertas yang sudah dicetak tidak dapat digunakan kembali. Jika dilihat dari mekanisme bimbingan yang harus bertemu secara langsung, dapat dikatakan kurang efektif dari segi waktu. Pertemuan tersebut dapat saja batal karena suatu alasan tertentu, misalnya dosen berhalangan hadir atau mahasiswa sedang sakit. Penelitian ini bertujuan untuk mengembangkan Sistem Informasi Paperless Thesis Exam yang harapannya dapat menangani berbagai proses bisnis tersebut. Dengan sistem ini diharapkan pencatatan (log) lebih terstruktur, seorang dosen dapat mengetahui secara jelas sampai sejauh mana (tracking) penelitian masingmasing mahasiswa yang dibimbingnya. Seorang mahasiswa pun tidak perlu mencetak laporan setiap kali akan bimbingan dengan dosen. Dengan demikian akan lebih hemat dari segi finansial. Melalui sistem ini seorang mahasiswa dapat mengunggah naskah, yang kemudian dalam satu periode koreksi, dosen dapat melakukan koreksi pada naskah tersebut. Dari segi waktu dan tempat lebih efektif karena seorang dosen dan mahasiswa tidak harus bertatap muka pada saat yang bersamaan. Metodologi yang digunakan dalam penelitian ini adalah Agile Modeling, yaitu sebuah metodologi yang menggabungkan antara kekacauan dan ketertiban berdasarkan praktek dalam pemodelan dan pendokumentasian yang efektif pada sebuah sistem perangkat lunak. AM bukan sebuah proses yang memberikan petunjuk secara pasti. Dengan kata lain, AM tidak mendefinisikan prosedur secara detail bagaimana untuk membuat sebuah sebuah model, akan tetapi memberikan saran-saran bagaimana menjadi seorang pemodel yang efektif. Hasil dari penelitian ini adalah Sistem Informasi Paperless Thesis Exam dengan fitur lengkap yang dapat menangani sebagian besar proses pengerjaan tesis di MTI UGM, dibuktikan dengan uji fungsionalitas pada bab pembahasan.

Master Program in Information Technology, Department of Electrical Engineering & Information Technology, Faculty of Engineering, Gadjah Mada University (later referred as MIT UGM) have affair related to the thesis processes. It started from the submission of thesis proposal until the process for testing and the revision of thesis. From those processes above, only the submission of thesis proposal have already used the information system. In other hand, the processes for student guidance, testing and revision are still using manual system. It means that in manual system, students have to have face to face meeting with the lecturer to have mentoring activity. It‟s also become the duty for students to bring their thesis modules in hardcopy to be corrected by lecturer. If there is mistake in that module, lecturer will give a feedback on that module. In the next meeting, student has to reprint the module. From the viewpoint of usage papers, this is very wasteful. From the viewpoints of technical methods which require the meeting have to be held by face to face, this method looks ineffective. This meeting also could be canceled because some reasons, for example, the lecturer have another important meeting or the student is sick. This research aims to develop the method of Information System Thesis Exam Paperless. This method is expected to help those manual processes easier to be done both for students and lecturer. This paperless system is also expected to record (log) more structured. It is also give the lecturer the track record for their student‟s research more precisely. This system also minimized the usage of papers because the student just sent the softcopy of their module to the lecturer. And it is more effective in time. This research is using Agile Modeling methodology, Agile Modeling (AM) is a chaordic, practice-based methodology for effective modeling and documentation of software-based systems. The AM methodology is a collection of practices, guided by principles and values, for software professionals to apply on a day-to-day basis. AM is not a prescriptive process. In other words, it does not define detailed procedures for how to create a given type of model, instead it provides advice for how to be effective as a modeler. The result of this research is Information System Thesis Exam Paperless with complete features which are helpful to handle of thesis making-process in MIT UGM. It is proven with functional test on Explanation Chapter.
