MANAJEMEN ARSIP PERSONAL: STUDI KASUS PADA MAHASISWA ANGGOTA UNIT FOTOGRAFI UNIVERSITAS GADJAH MADA

Seiring meningkatnya produksi file digital foto oleh mahasiswa anggota Unit Fotografi Universitas Gadjah Mada, kebutuhan akan manajemen arsip personal yang efektif menjadi semakin penting. Namun, praktik manajemen arsip personal di kalangan mahasiswa seringkali masih informal dan kurang terstruktur yang berpotensi menyebabkan kehilangan data dan penurunan aksesibilitas. Penelitian ini bertujuan untuk menyelidiki bagaimana mahasiswa anggota Unit Fotografi UGM mengelola arsip digital personal mereka, mengidentifikasi hambatan yang mereka hadapi, dan menganalisis strategi yang mereka gunakan untuk mengatasi tantangan tersebut.

Menggunakan pendekatan studi kasus kualitatif, penelitian ini memanfaatkan kuesioner dan wawancara mendalam dengan 21 responden dan 2 narasumber terpilih dari angkatan 29 hingga 31. Temuan menunjukkan bahwa meskipun mahasiswa menyadari pentingnya mengorganisir dan melindungi file mereka, implementasi sistem penamaan berkas dan pengorganisasian yang konsisten, serta backup rutin. Faktor-faktor seperti keterbatasan waktu, kurangnya pengetahuan teknis, dan infrastruktur penyimpanan yang tidak memadai berkontribusi pada tantangan ini. Studi ini menyimpulkan bahwa manajemen arsip personal di kalangan mahasiswa dipengaruhi oleh inisiatif individu, kesadaran konteks, dan tingkat literasi digital yang bervariasi. Oleh karena itu, perlu ditindaklanjuti dengan dukungan edukasi dan sistem yang lebih terstruktur.

As the production of digital photo files by students who are members of the Gadjah Mada University Photography Unit increases, the need for effective personal archive management becomes increasingly important. However, personal archive management practices among students are often informal and unstructured, which can potentially lead to data loss and reduced accessibility. This study aims to investigate how students in the UGM Photography Unit manage their personal digital archives, identify the obstacles they face, and analyse the strategies they use to overcome these challenges.

Using a qualitative case study approach, this research utilises questionnaires and in-depth interviews with 21 respondents and 2 selected informants from cohorts 29 to 31. Findings indicate that while students recognise the importance of organising and protecting their files, consistent implementation of file naming systems, organisation, and regular backups is lacking. Factors such as time constraints, lack of technical knowledge, and inadequate storage infrastructure contribute to these challenges. This study concludes that personal archive management among students is influenced by individual initiative, contextual awareness, and varying levels of digital literacy. Therefore, further action is needed through educational support and more structured systems.
