PERENCANAAN RECORDS CENTER SEBAGAI WUJUD NYATA GERAKAN SADAR ARSIP DI DIREKTORAT ASET UNIVERSITAS GADJAH MADA

Perencanaan records center di Direktorat Aset Universitas Gadjah Mada dilakukan untuk meningkatkan pengelolaan arsip dinamis inaktif Direktorat Aset Universitas Gadjah Mada sehingga kegiatan temu kembali arsip dapat terlaksana dengan baik dan menjamin keselamatan arsip baik secara fisik maupun informasi. Penulisan tugas akhir ini memiliki tujuan untuk mengetahui kondisi record center, mengetahui kendala dalam perencanaan record center, dan memberikan perencanaan records center yang baru bagi organisasi. Metode pengumpulan data yang digunakan adalah studi pustaka, observasi, dan wawancara. Metode studi pustaka digunakan sebagai pendukung melalui referensi dan materi yang berkaitan dengan perencanaan records center dari berbagai sumber seperti buku, jurnal, makalah, dan website. Metode observasi partisipatif dilakukan dengan melakukan pengolahan terhadap arsip inaktif dan melakukan pengamatan terhadap records center yang akan digunakan. Sedangkan wawancara dilakukan melalui kegiatan tanya jawab dengan beberapa informan dari Direktorat Aset Universitas Gadjah Mada dan arsiparis dari kantor Arsip Universitas Gadjah Mada. Gudang persediaan yang digunakan Direktorat Aset Universitas Gadjah Mada sebagai penyimpanan arsip inaktif belum memenuhi standar sesuai Keputusan Kepala ANRI Nomor 03 Tahun 2000 tentang Standar Minimal Gedung dan Ruang Penyimpanan Arsip Inaktif. Maka dari itu diperlukan perencanaan records center yang baru agar pengelolaan arsip dinamis inaktif dapat berjalan dengan baik. Perencanaan records center bagi Direktorat Aset Universitas Gadjah Mada merupakan salah satu bentuk realisasi dari Gerakan Nasional Sadar Arsip.

Planning records center at the Direktorat Aset at Universitas Gadjah Mada was carried out to improve the management of inactive records from Direktorat Aset at Universitas Gadjah Mada so that archive retrieval activities could be carried out properly and to ensure the safety of the records either phisically or information. The aim of this study is to know the condition of the records center, knowing the obstacles in planning the records center, and providing planning records centers that are new to the organization. Data collecting methods that used are literature studies, observations, and interviews. The library study method is used as a support through references and material that are related to records center planning from various sources such as books, journals, papers, and websites. The method of participatory observation is done by actively involved in processing inactive records and observing the records center that will be used. While the interviews were conducted through question and answer activities with several informants from the Direktorat Aset at Universitas Gadjah Mada and archivists from the Arsip Universitas Gadjah Mada. Gudang Persediaan used by the Direktorat Aset at Universitas Gadjah Mada as inactive archive storage have not met the standards according to Keputusan Kepala ANRI Nomor 03 Tahun 2000 tentang Standar Minimal Gedung dan Ruang Penyimpanan Arsip Inaktif. Therefore we need a new record center planning so that dynamic inactive archive management can run well. The records center planning for the Direktorat Aset at Universitas Gadjah Mada is one form of realization of the Archive Conscious National Movement
