THE ROLES OF OIA UGM IN MANAGING 7TH ASEAN Student Leader Forum and 3RD ASEAN University Network - Student Affairs Network Event 2019

Tujuan dari penulisan laporan akhir ini adalah untuk membahas peran dari Office of International Affairs (OIA) Universitas Gadjah Mada (UGM) dalam acara 7th ASLF dan 3rd AUN-SAN 2019. Sehubungan dengan UGM yang menjadi tuan rumah pelaksanaan acara tersebut pada tahun ini di Indonesia, OIA UGM juga memiliki peran kehumasan untuk UGM itu sendiri. Tugas akhir ini juga meliputi profil dari OIA UGM dan penjelasan umum mengenai acara yang bersangkutan. Untuk mengumpulkan semua data yang dianalisis, penulis melakukan observasi partisipan pada program magang selama tiga bulan di OIA UGM terhitung dari tanggal 1 Februari sampai 30 April 2019. Penulis menggunakan metode analisis data kualitatif untuk mengolah seluruh data yang sudah dikumpulkan termasuk data ulasan dan evaluasi acara tersebut oleh seluruh anggota divisi LO. Penulis juga melakukan wawancara personal terhadap staf OIA UGM mengenai profil dan tugas dari setiap staf OIA UGM. Penulis juga terlibat aktif dalam acara 7th ASLF dan 3rd AUN-SAN 2019 sebagai koordinator dari divisi Liaison Officer (LO) untuk mendapatkan informasi yang akurat dan tepat. Tugas akhir ini menyimpulkan menurut lima fase manajemen acara di buku Event Management Second Edition (2006) bahwa peran OIA UGM dalam acara 7th ASLF dan 3rd AUN-SAN 2019 adalah terlibat dalam semua fase manajemen acara seperti inisiatif, perencanaan, pelaksanaan, acara, dan penutupan. Dengan terlibatnya Kepala OIA UGM langsung serta informasi mengenai peminjaman logistik seperti bendera ASEAN, peminjaman ruang untuk rapat persiapan, dan komunikasi terhadap Hubungan Masyarakat UGM untuk menerbitkan artikel terntang acara ini OIA UGM juga membantu dalam perekrutan sumber daya manusia dari UGM Buddy Club (UGM BC) yang ditugaskan langsung oleh Kepala OIA UGM untuk menjadi bagian dari divisi LO untuk 7th ASLF dan 3rd AUN-SAN 2019. Secara tidak langsung OIA menjalankan peran kehumasan lewat acara ini, yaitu ikut membantu merangkai acara, membantu publisitas dan menjadi pihak pertama yang berkomunikasi langsung dengan delegasi yang ikut serta dalam acara 7th ASLF dan 3rd AUN-SAN 2019.

The purpose of this graduating paper is to discuss the role of Office of International Affairs (OIA) of Universitas Gadjah Mada (UGM) in managing the 7th ASLF and 3rd AUN-SAN 2019 event. In connection with UGM as the host university of this year in Indonesia, OIA UGM has a public relations role for UGM itself. This graduating paper also consists of the profile of OIA UGM and general explanation of the related event. To collect and analyze the data, the writer conducted participant observation in a three-month internship program at OIA from 1st February to 30th April 2019. The writer uses qualitative research method to process all of the data which had been collected including the review and evaluation data of the event by each member of the LO division. The writer also did personal interviews with OIA staff regarding the profile and the job description of each OIA UGM staffs. The writer was also actively involved in the 7th ASLF and 3rd AUN-SAN 2019 event as a coordinator of Liaison Officer (LO) division to obtain accurate and valid information. This graduating paper concludes that based on the five phases of event management in the book titled Event Management Second Edition (2006) OIA UGM in the 7th ASLF and 3rd AUN-SAN 2019 event was contributed in all phases of event management such as initiative, planning, implementation, the event, and shutdown. With the involvement of the Head of OIA UGM directly as well as the information in borrowing logistics such as the ASEAN flags, space for board meetings, and communication with Public Relations UGM to publish articles about this event. OIA UGM also assisted the recruitment of human resources from UGM Buddy Club (UGM BC) who was assigned directly by the Head of OIA to became part of the LO division for the 7th ASLF and 3rd AUN-SAN 2019 event. OIA indirectly carried out a public relations role through this event, which helped in managing this event, helps the publicity, and became the first party to communicate with the delegates who participated in the 7th ASLF and 3rd AUN-SAN 2019 event.
