PENGOLAHAN ARSIP FOTO DI UNIT GENERAL DOCUMENT AND FILES KANTOR PUSAT PT KERETA API INDONESIA (PERSERO)

Kajian ini mendiskusikan pengolahan arsip foto yang dilaksanakan di PT Kereta Api Indonesia (Persero) yang berlokasi di kantor pusat Bandung. PT KAI merupakan satu-satunya Badan Usaha Milik Negara yang mengoprasikan sistem transportasi darat menggunakan kereta sejak tahun 1945. Kajian ini bertujuan untuk memahami jenis dan kondisi; proses pengolahan; serta sarana prasarana dan kendala selama pengolahan arsip foto. Terdapat tiga metode yang digunakan dalam kajian ini. Pertama, observasi dilakukan dengan berpartisipasi langsung dalam proses mengolah arsip foto. Kedua, tanya jawab dilakukan dengan mewawancarai personil dalam Unit General Document and Files. Ketiga, studi pustaka dilakukan dengan mencari referensi yang relevan seperti buku, jurnal, dan artikel. Kesimpulan yang dihasilkan dari kajian ini terbagi menjadi tiga. Pertama, PT KAI menyimpan berbagai jenis arsip, mulai arsip konvensional (189.000 boks) dan arsip media baru (khusus arsip foto berjumlah 6.000 item). Secara umum, mayoritas arsip masih dapat dibaca informasinya walaupun ada beberapa yang mulai berjamur. Kedua, pengolahan arsip foto dimulai dengan tahap seleksi, manuver fisik, deskripsi, preservasi, pemberian kode dan keterangan pada amplop, menyimpan arsip ke dalam kotak simpan, dan pembuatan daftar arsip model registered. Ketiga, sarana prasarana yang digunakan adalah: kertas roti, gunting, pensil, penggaris, amplop surat, kertas label, masker, sarung tangan, container boks plastik dan komputer. Terakhir, kendala yang dapat diidentifikasi antara lain belum ada pedoman klasifikasi, kompetensi preservasi, dan belum ada tunjuk silang.

This final paper discusses sprocessing of photographic archives at PT Kereta Api Indonesia (Persero) that is located at the head office in Bandung. PT KAI is the only State-Owned Enterprises which operates train transportation since 1945. This study aims to understand type and condition; records processing; infrastructure and obstacles during the processing of still image records. There are three methods that used in this study. First, the observation that has been done by directly participating in the process of managing still image. Second, interview conducted by interviewing the personnel at the Unit General Document and Files. Third, literature study that has been done by looking for relevant references such as books, journal and articles. This study results three conclusions. First, PT KAI stores various types of records, those are conventional records (189,000 boxes) and new media records (there are 6,000 items of still image records). In general, the information contained in the records is still readable although some of the records are mildewed. Second, the processing of photographic archives is started by selection stage, physical maneuvering, description, preservation, coding on the envelopes, records storing into the store boxes, and making finding aids in registered model. Third, the infrastructures used are: bread wrapping paper, scissors, pencil, ruler, envelopes, label, mask, gloves, container, and computer. Last, the obstacle identified in this processing are the lack of classification guidelines, preservation competence, and cross-reference.
