PENGEMBANGAN FUNGSI E-FAKTUR PADA SISTEM INFORMASI MANAJEMEN PROYEK LEMBAGA KERJA SAMA FAKULTAS TEKNIK

Pusat Kajian LKFT merupakan lembaga pusat kajian yang menyediakan layanan jasa keteknikan serta pengembangan sumber daya manusia seiring dengan perkembangan ilmu pengetahuan dan teknologi. Lembaga ini menangani berbagai macam proyek kerja sama dengan klien dari berbagai bidang dengan total nilai kontrak mencapai lebih dari 60 Miliar rupiah pada setaip tahunnya. Pada proses administrasi kerja sama dengan mitra, diperlukan surat e-Faktur dan surat permohonan pembayaran yang menjadi syarat pembiayaan kerja sama. Saat ini, proses pembuatan surat permohonan e-Faktur dan surat permohonan pembayaran masih dilakukan secara manual berdasarkan data kerja sama yang ada di sistem LKFT. Hal tersebut menyebabkan proses administrasi menjadi lebih lama dan tidak efisien karena data kerja sama dan surat permohonan dibuat secara terpisah. Untuk menyelesaikan permasalahan tersebut maka luaran yang dihasilkan dalam proyek ini dirancang agar dapat menghimpun data kerja sama menjadi dokumen yang berfungsi untuk keperluan administrasi secara otomatis sehingga lebih efektif dan efisien. Dalam pengembangan sistem informasi ini, digunakan framework CodeIgniter pada back-end, framework Vue.js pada front-end, dan MySQL sebagai basis data dan terintegrasi dengan sistem LKFT yang saat ini sudah tersedia. Demi merealisasikan fungsi tersebut, digunakan beberapa library dalam perancangan teknis untuk dapat meghasilkan surat berdasarkan data yang bersangkutan yaitu PHPOffice dan PHPWord. Sistem ini bekerja pada back-end dengan menghimpun data yang diinput pada sistem dan menghasilkan data independen sebagai acuan untuk menghasilkan dokumen berdasarkan format yang sudah tersedia. Sedangkan dari sisi front-end, dokumen tersebut dapat diakses melalui tampilan unduh pada bagian data kerja sama yang terhubung dengan database MySQL. Hasil dari implementasi fungsi pada sistem informasi ini adalah pengguna dapat mengunduh surat permohonan e-Faktur dan surat permohonan pembayaran secara otomatis. Dengan tersedianya fungsi ini, proses administrasi menjadi lebih singkat dan meningkatkan efisiensi LKFT dalam mengelola kerja sama.

Pusat Kajian LKFT is a study center institution that provides engineering services and human resource development in line with the development of science and technology. This institution handles collaborative projects with clients from various fields and has a total contract value of more than 60 billion rupiahs per year. In the administrative process of the project with partners, an e-Invoice and a payment request document are required for the project's financing. E-Invoice application and payment request documents are manually created based on the LKFT system's project data. That causes the administrative process to be longer and inefficient because the project data and administration documents are made separately. Based on these problems, this project's outcomes are designed to collect the collaborative project data in LKFT so that they can be managed and processed into documents that are automatically created for administrative purposes. In developing this information system, the CodeIgniter framework is used on the back-end, the Vue.js framework on the front-end, and MySQL as the database and is integrated with the current LKFT system available. Several libraries are used in technical design to create this function to generate documents based on the collaborative project data, namely PHPOffice and PHPWord. This system works on the back-end by collecting inputted data into the system and producing independent data as a reference to create documents based on the available formats. Meanwhile, users can access the document from the front-end side through the download view in the collaboration project data section connected to the MySQL database. The result of creating input functions and automation of administrative document creation is that users can automatically download e-Invoice application documents and payment requests. With the availability of this function, the administrative process becomes shorter and increases the efficiency of LKFT in managing collaborative projects.
