ALIH MEDIA ARSIP FOTO KE DALAM BENTUK DIGITAL SEBAGAI UPAYA PENYELAMATAN INFORMASI DI DINAS PERPUSTAKAAN DAN KEARSIPAN KOTA YOGYAKARTA

Tujuan dari penulisan ini adalah unuk mendeskripsikan tentang alih media arsip foto di Dinas Perpustakaan dan Kearsipan Kota Yogyakarta, terutama terkait dengan: 1) Proses alih media; 2) Pengelolaan arsip foto hasil dari alih media; 3) Sarana prasarana alih media; 4) Kendala dalam alih media. Metode yang digunakan untuk mengkaji permasalahan tersebut di atas yakni observasi partisipasi, wawancara, dan studi pustaka. Pertama, observasi partisipasi, dengan cara terlibat langsung proses alih media arsip foto sebagaimana dimaksud. Kedua, wawancara dengan narasumber yang terkait, yakni pegawai di Dinas Perpustakaan dan Kearsipan Kota Yogyakarta. Ketiga, studi pustaka yakni pencarian dan pemanfaatan berbagai sumber referensi yang relevan dengan topik kajian ini. Hasil dari kegiatan alih media arsip foto di Dinas Perpustakaan dan Kearsipan Kota Yogyakarta adalah sebagai berikut. 1) Prosedur alih medianya adalah: penyusunan tim alih media, survey arsip, scanning, cropping, metadata; 2) Pengelolaan arsip foto hasil dari alih media yaitu menyimpan fisik arsip di depo statis dan menyimpan softfile di komputer serta SIM Mariska; 3) Sarana prasarana alih media yaitu mesin scanner, komputer, harddisk eksternal, flashdisk, ruang; 4) Kendala dalam alih media arsip foto yaitu belum adanya kabel penghubung, dan ruang alih media kurang luas.

This study aims at describing the process of making digitization of photo archives in the library and archives services the city of Yogyakarta (Dinas Perpustakaan dan Kearsipan Kota Yogyakarta), it focuses mainly on discussing: 1) Process of digitization; 2) Managing photo archives result of digitization; 3) The facilities of digitization; 4) problems in the process of making the digital format. Participatory observations, interviews, and library researches were used in discuss the problems mentioned. Firstly, the participatory observations were conducted by participating in the process of making the digital archives. Secondly, interviews were conducted with related subjects, some employees of library and archives services the city of Yogyakarta. Thirdly, the library researches were the process of finding and using various resources relevant to the topic. The following are the result of the discussions of the proposed questions. First, the procedures of making the digital archives are: making the team of digitization, survey archives, scanning, cropping, metadata. Second, Managing photo archives result of digitization are saving archives, saving softfile archives in computer and entry to the Mariska application; Third, the facilities of digitization are scanner, computer, harddisk eksternal, flashdisk, and specific room; Fourth, the obstacles found in the process of making digital archives are not available of connecting cables , and digitization of room less large.
